The file clerk is responsible for organizing and filing records in the Human Resources
High school diploma or GED.
Six months related experience and/or training.
Ability to apply a common sense understanding to carry out detailed but uninvolved
written or oral instructions.
Ability to deal with problems involving occasional, last‐minute changes in generally
Ensure confidentiality working with employee files and Personally Identifiable
ESSENTIAL JOB FUNCTIONS:
File incoming personnel file documents, such as new hire documents, medical
documents, license and credentials renewals, HR forms, Compliance forms, and any
other documentation to be housed in personnel files, according to electronic and
physical file systems.
Search for and investigate information contained in files, keeping files current, supplying
information from file data, and removing files upon authorization.
Scan files, as needed, for electronic filing purposes or for auditors.
Ensure terminated employee files are sent to storage at the appropriate time.
Ensure all active employees have required files via file audits.
Ensure compliance with state and federal file retention laws and requirements.
Raise any concerns regarding documents that appear to be incomplete, damaged or in
need of managerial attention.
Perform other work‐related duties as assigned.

Physical and Sensory Requirements (With or Without the Aid of Mechanical Devices):
Walking, reaching, climbing, bending, lifting, grasping, fine hand coordination, pushing and
pulling, ability to distinguish smell and temperatures, ability to read and write, ability to
communicate with personnel, patients, and outside agencies. Ability to present to groups and
the ability to remain calm under stress.
